Time saver or too good to be true? Evaluating Microsoft Teams’ Intelligent Recap

Any good project manager wants to streamline processes and find ways to work smarter, not harder. As an experienced project manager, I've witnessed rapid advancements in communication and collaboration tools in recent years, particularly with the rise of AI (Artificial Intelligence). One exciting development in AI-powered project management tools is Microsoft (MS) Teams’ intelligent recap. Intelligent recap is an AI-powered Teams add-on designed to automatically generate meeting notes, task recommendations, and personalized discussion highlights. This feature promises to be particularly valuable during content-rich or highly technical meetings, as it prevents project managers from being sidetracked by note-taking. 

 
 

Benefits of Microsoft Teams’ Intelligent Recap:  

Time savings: Automated meeting notes such as those provided by intelligent recap can considerably reduce the time traditionally spent on manual transcription and summaries. This allows more time for strategic planning and task execution.  

Meeting engagement: In roles where multitasking is common, any automation is beneficial. Often, designated notetakers are preoccupied with capturing content and cannot actively contribute to discussions themselves. The elimination of notetaking allows for undivided attention during meetings. This invariably leads to a better understanding of matters discussed and facilitates deeper engagement. 

 • Team alignment: Centralized notes can minimize post-meeting communication discrepancies. Moreover, AI-generated task highlights within the intelligent recap tool provide team members with clear insights into their responsibilities, fostering a cohesive work environment. 

Challenges of Microsoft Teams’ Intelligent Recap:  

Accuracy: Since the program is still in development, intelligent recap might occasionally misinterpret or overlook parts of the meeting, leading to potential errors. Assigning a team member to review and revise meeting notes as needed may be appropriate.   

Cost: Intelligent recap is a Premium Microsoft Teams feature and cannot be accessed through a standard Microsoft Teams subscription. If your organization is already using Microsoft Teams, you can upgrade to a Premium plan for $7 a month to get access to intelligent recap.  

Technical suitability: Intelligent recap might not be the best tool for meetings heavy with technical jargon or industry/organization-specific terminologies. You will need to test it out in your own unique operating environment to determine whether intelligent recap will meet your needs.  

Nuance: While the intelligent recap efficiently transcribes spoken content, it will miss any non-verbal cues that could provide important context. This serves as a reminder that technology has its limits and cannot always replicate human intuition and perception.  

A notable strength of intelligent recap is its robust security. It is built on the same secure foundation that supports all Microsoft Teams. The robust security ensures full data encryption, with stringent access control and permissions governance. These features make intelligent recap it a viable choice in scenarios where the content of the meeting is sensitive or confidential in nature. 

While intelligent recap undeniably saves time for project managers, there is an evident disparity in the sophistication of the AI used by Microsoft for intelligent recap when compared to ChatGPT 4.0. I've noticed that notes provided by intelligent recap aren't as comprehensive as those produced by feeding meeting transcripts into ChatGPT 4.0 for analysis. However, ChatGPT 4.0 is only suitable for non-sensitive meetings unless one opts for a ChatGPT Enterprise subscription, addressing confidentiality concerns. 

MS Teams’ intelligent recap feature presents a promising solution to enhance productivity and focus within project management. However, understanding its constraints is crucial. By leveraging its capabilities and recognizing its limitations, project managers can effectively utilize the intelligent recap tool, ensuring clear and precise project progression. In the end, the key to successful AI integration lies in finding tools that can complement human expertise rather than supplement it.
